Brand-compliant documents built to stay consistent across teams, platforms and outputs.

Clean, readable, on-brand documents are easier to use, update and share. From one-page documents to long-form publications, your content is designed and formatted with clear styling systems and reliable templates, keeping your files consistent. Where it makes sense, repeatable production can be automated through data merge to reduce manual labour, errors and formatting drift.

Service Overview

Scope, deliverables and how to keep documents brand-consistent at scale.

What this service is for

This service is for documents that need to stay brand-consistent, easy to update and reliable across teams and outputs. Whether your files vary between departments, break when edited, drift from brand guidelines, rely on repetitive copy-and-paste, take too long to produce or need a complete visual refresh, Bel Proof can create a more consistent, efficient and manageable document system.

What Bel Proof can do for you

Bel Proof creates brand-compliant documents with professional layouts, clear hierarchy, reliable templates and properly structured styles for Word, InDesign and PDF outputs. Where useful, data merge and automation can also be built in to streamline repeat content, reduce manual formatting, minimise version errors and make future updates faster and easier.

Deliverables you can expect

You'll receive finished, ready-to-use files along with any agreed working documents needed for future updates. Depending on the project, this may include print-ready PDFs, editable Word or InDesign files, templates, style system documentation and clear handover notes outlining what can be safely edited.

Getting Started, Workflow & Requirements

The steps moving from your current files to a finished, brand-compliant result for publishing and/or printing.

How the process works

The process begins with a review of your existing files and brand guidelines, followed by a clear scope covering what needs redesigning, systemising or automating. From there, the document structure, styles, templates and reusable components are built, formatting and production rules are applied, and the final files are delivered with practical handover notes to help future edits stay consistent.

What we need from you (to start fast)

To get started quickly, please provide your brand guidelines or a suitable reference document, along with any logos, branded imagery and source content. Include relevant production requirements such as page size, expected approximate page count, output requirements, print/digital/accessibility needs, and for data merge projects, your current Excel or CSV file plus sample images where applicable.

Common projects this covers

Common projects include reports, policy and procedure manuals, HR onboarding modules, training documents, lesson modules, tenders, capability statements, long-form publications, project diaries, industry-specific specialised journals, handbooks, product sheets, catalogues and branded Word templates designed for consistent use across teams.

Workflow Efficiency Review

Sometimes the problem isn't the design – it's the process around it. A workflow efficiency review looks at how files, content, images, approvals and outputs move through your business, then identifies the bottlenecks that slow work down or create avoidable errors. You'll receive practical recommendations to tighten the workflow, reduce rework and make the path from brief to final output easier to manage.

For businesses, agencies, printers, publishers and in-house teams who need a clearer, more reliable process from brief, content and assets through to final output.

FAQ

Do you work in Word or InDesign?

Both! The right tool depends on how the document will be edited and who needs to update it.

Can you make templates that can be used by multiple staff?

Yes. Template resilience is the point. We build with styles and rules that hold up under real use.

Do you automate catalogue production?

Yes. If the content is repeatable and structured, data merge can save significant time and reduce errors.

Do you provide print-ready files?

Yes. If printing is required, we'll deliver print-ready PDFs to spec and can liaise with your printer if needed.

Do you provide proofreading services as well?

Proofreading is not part of the standard Bel Proof Service, which focuses on formatting, file fixing and production-ready output. If proofreading is needed, it can be arranged before the final design or production stage so the project stays on track.

Do you provide graphic design services?

Yes. Graphic design support is available where a project needs more than technical fixing and formatting. This may include refinement, branded collateral, print design, publication design or redesign work to create a more polished, professional result.
